West Devon Borough Council takes your privacy seriously. This notice sets out what we will do with your information and who we may share it with:
How We Use Your Information And Your Rights

Your information will be anonymised when used for consultation analysis. Consultation results may be published and reviewed at Council or Committee meetings. No personal information will be revealed.

Holding and processing your information is lawful as you will grant us your consent. If you remove this consent, you will not be able to participate in any consultations on our engagement portal.
We may share the results of the consultation with other organisations but will not disclose your personal information.
The engagement website is hosted by WiX on behalf of the Council, none of your personal information will be held by WiX.

Our email bulletin system is hosted by Granicus, they will process and hold the data you provide for the sole purpose of allowing the Council to communicate with you once you have given us (West Devon Borough Council) permission to do so. Consultation comments may be gathered in a variety of ways through the portal:

By 3rd party independent marketing company - such as the Institute of Customer Service - individual privacy statements will be posted with the survey in such circumstances

By partners - we (West Devon Borough Council) are not responsible for data provided to 3rd party websites
We will process and hold the data you provide for the sole purpose of allowing the Council to analyse the consultation responses. We (West Devon Borough Council ) may disclose your personal information if required by law or to prevent or detect crime.
Length of Time We Keep Your Information
We keep your personal information for one year from the closing date of the consultation and will delete or destroy it at the end of that period. If you provide data as part of a Council run focus group, we will only use the data you provide for the purposes of running the focus groups until you inform us that you no-longer wish to take part. We will delete or destroy your personal data at this time.

In the event that the Council no longer uses Granicus, Survey Monkey, SmartSheet or a third party company engaged by us, we are responsible for ensuring that personal data you provide is no longer held by them.

Your Data Protection Rights
Under the General Data Protection Regulation (GDPR), you have the right to;

Request a copy of the personal information the Council holds about you.

Have it corrected or rectified if it is inaccurate.

Have it erased, (but not in all circumstances, as it depends on our reason(s) for holding it).

Have its use restricted or stopped while we respond to you and handle your request.

Receive a copy of the information you have provided to us, in a structured, commonly used and machine-readable format, so that you can take it elsewhere.

Not to be subject to a decision based on automated individual decision-making and profiling, where it produces legal effects concerning you or significantly affects you. We may arrange for decisions to be re-made about you by a person, for you to express your view or to contest the decision.
